    General policy

    HOLLANDERS CARL BV processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR).

    HOLLANDERS CARL BV is the data controller for the personal data you provide us by email, through the contact form on this website, when requesting our services, or as an employee using our driver and staff portal.

    Website visitors and clients

    When you contact us or request our services, we collect the following data:

    • Company name / first and last name;
    • Address;
    • Email address;
    • Phone number;
    • Any other personal data you choose to share with us by email or attachment.

    This data is used exclusively to provide our services and to allow us to respond to your inquiry. We need it to:

    • Communicate with you by phone, email, etc.
    • Manage client files.
    • Deliver our services and properly perform the agreement between us.
    • Send marketing communications: a digital newsletter, printed material and invitations.
    • Handle invoicing and administration.

    Contact form

    When you send us a message through the contact form on this website, your submission — your name, company (optional), email address, phone number (optional) and message — is stored securely in our database so that our staff can read it, respond to you and manage your request. Authorised staff review these submissions in a secure internal dashboard and delete them once they are no longer needed.

    To protect the form against spam and automated abuse, we also process a limited amount of technical data. Specifically, we store a hashed (pseudonymised) version of the IP address from which a message is sent, and use it only to limit how many messages can be submitted from the same source within a short period. We do not store your IP address in readable form, and this data is not used to identify or profile you. The legal basis for this processing is our legitimate interest in keeping the contact form secure and available.

    Driver and staff portal

    Our drivers, who are employed by HOLLANDERS CARL BV, use an online portal to register trips and working hours. When an account is created and used, we process:

    • Name and email address;
    • Login credentials (your password is stored securely by our authentication provider, Supabase, and is never visible to us);
    • Account status (pending, active or rejected) and role (driver or admin);
    • The truck and/or trailer you are assigned to;
    • The trip reports you submit: date, start and end time, odometer readings you enter manually, cargo type, container and trailer numbers, stop locations you type in yourself, arrival and departure times, and any notes.

    We do not track your location or GPS position. Mileage and stop locations in the portal are entered manually by the driver, not collected automatically from a device.

    This data is used to manage employment-related logistics operations, to process driven hours and mileage for administrative and payroll purposes, and for internal reporting and compliance.

    Cookies & social media

    For information about our use of cookies, please refer to our Cookie Policy. HOLLANDERS CARL BV also maintains a company page on social media (Facebook), used solely for business communication (sharing newsletters, announcements, etc.). As a visitor, you are free to follow our social media pages or not.

    HOLLANDERS CARL BV is in no way responsible for the processing of your personal data by these external platforms. We recommend that you review the cookie and privacy policy of these external providers beforehand.

    Hosting and storage

    Website and portal data is stored with our hosting and database provider, Supabase, in a data centre located in the European Union (Frankfurt, Germany). Your data therefore does not leave the EU. To keep you logged in, the portal stores a session token in your browser's local storage.

    Sharing your personal data

    In a limited number of cases, your personal data is shared with third parties for the following purposes:

    • Hosting services;
    • Payment services.

    HOLLANDERS CARL BV guarantees a level of protection similar to its own whenever your personal data is shared with such parties.

    Retention period

    Personal data related to a website inquiry is kept until you inform us that you no longer wish to receive information from us.

    Trip reports and other operational data submitted through the driver portal are retained for 5 years, after which they are deleted.

    What are your rights?

    As a data subject, you have the right to:

    • Access your data;
    • Rectify your data;
    • Erase your data;
    • Data portability;
    • Object to processing;
    • Restrict processing.

    When you submit a request to exercise your rights, we will first need to verify your identity. For this reason, please include a copy of your ID card with your request.

    Exercising your rights is, in principle, free of charge. If your request is manifestly unfounded or excessive, we may charge a reasonable fee to cover our administrative costs, or we may choose not to act on the request. In either case, we will always inform you of our reasons.

    In any case, we will inform you of the outcome of your request within four weeks at the latest.

    Where provided for under applicable European and Belgian regulations, you have the right to lodge a complaint with the competent supervisory authority (see below).
